TITUS announces release of Shell Extension for Document Classification Software

Classification and policy management software now classifies pre-existing documents for security purposes and facilitates searching of archived documents

OTTAWA, Canada – November 22, 2006 – TITUS a provider of email and document classification software that enables organizations to classify, manage and control e-mail and documents, today announced the release of their new TITUS Document Classification shell extension, developed to meet customer requirements to classify pre-existing documents. The new shell extension enables organizations to classify hundreds of thousands of existing documents in minutes and facilitates document marking and searching for legal or compliance requirements.

Governments and large enterprises worldwide are implementing regulations to ensure the classification and retention of e-mail messages and documents. However, these companies today have data stores filled with sensitive corporate records for archival and auditing purposes. The challenge has been how to securely classify or categorize these existing and archived documents without opening each file independently. Classification is required to avoid inadvertent disclosure or distribution of these valuable corporate documents. In addition, lack of categorization makes it difficult to search any archived documents for legal or compliance reasons.

The TITUS Document Classification shell extension for Windows Explorer provides a simple and cost effective solution to the problem of classifying existing documents. The Document Classification shell extension allows administrators to quickly classify large numbers of corporate documents which were created in Microsoft Office. Administrators simply right click on a file or multiple files in Windows Explorer and select the appropriate classifications for the files. Classification properties are then assigned to all the selected files. In this way, hundreds, or thousands of existing documents can be classified in minutes.

Once the Document Classification extension has been used to classify the documents, users are able to see visual markings within the documents that allow them to make informed decisions on proper document handling. Once classified, TITUS Document Classification software displays the classifications in the header and footer of the document, or as configured by the administrator. In this way, users will quickly understand the sensitivity of the information and will take steps to properly protect, and restrict access to, sensitive information.

In addition to the security benefits, documents can be searched quickly based on assigned classifications. Using the assigned metadata, administrators can quickly find all existing documents based on categorizations. For example, if a project or case categorization is assigned by the Document Classification extension, it will be very quick and easy to later find all documents related to a particular case or project.
